Records Organization Records arrive from providers in inconsistent formats and out of order with incorrect page orientation and odd page sizes that are not ready for filing. There are also blank pages that cost you expert analysis fees per page, copies of driver's licenses that many jurisdictions will reject during e-filing, and have ordering documents and copies of paid invoices that you don't need. We organize everything chronologically and make all the corrections necessary so your team opens a clean, usable .pdf file ready for e-filing, not a stack of scanned pages. 

Advanced Billing Calculations  Most bills come in without formatting and labeling that can be clearly understood, so we specialize in bill interpretation and calculation. Some bills look like a keyboard threw up on a page, so it takes more to ensure all the totals are correct, especially when the Provider's affidavit does not show all numbers needed to calculate the amount owed. We make sure any affidavits match the bills and/or itemized summaries to support damages calculations, lien resolution and subrogation, and settlement demand packages. We are also trained to look at CPT/ICD codes and read records to determine if the fulfilled order has unrelated dates of service or isn't even related to the case when it does not match the injury. All orders go out with a detailed financial balance confirmation form to help itemize when billing is not clear.

Provider Follow-Up & Escalation Non-responsive providers are one of the biggest sources of case delay. We track every outstanding request and escalate persistently until records are received. We send automated follow ups and due date reminders pre-deadline to ensure compliance with 30 day requests. We customize our follow up for common LOP providers who have rapid fulfillment history and providers who tend to create duplicate requests. For an additional fee, we can expedite a record when allowed by the Provider.
